HVAC Navigator is an operations platform for HVAC service teams. This policy explains what information the app may collect, how it is used, and how users can contact us about privacy, account, or data deletion requests.

Information we collect

HVAC Navigator may collect account information such as name, username, email address, phone number, role, company, linked customer records, authentication status, and device registration details. The app may also process work orders, service notes, customer and site information, equipment records, inventory records, purchase orders, quotes, invoices, fleet and vehicle records, mileage, photos, uploaded files, assistant messages, notifications, audit records, and other operational data entered by authorized users.

Device permissions

The app may request camera access for barcode scanning, equipment photos, job photos, tag photos, and inventory documentation. The app may request microphone access for Navi voice features and speech transcription. The app may request location access to help match field users to nearby customer sites, support dispatch context, and improve work-order records. The app may request notification permission to send work-order, warehouse, customer, billing, and system alerts.

How we use information

We use information to operate the HVAC Navigator platform, including login and security, dispatching, work-order management, customer portal access, warehouse and fleet workflows, inventory tracking, billing support, purchase orders, quotes, notifications, troubleshooting support, and assistant features. We may use diagnostic and audit data to protect accounts, investigate issues, improve reliability, and support authorized business operations.

Service providers and sharing

We do not sell personal information. Information may be processed by service providers that help us run the app, such as hosting providers, cloud tunnel providers, authentication or storage systems, notification services, analytics or diagnostics tools, and AI or speech-processing providers used for Navi assistant features. Information may also be visible to authorized users within the company or customer account that the record belongs to.

Data retention and deletion

Operational records are retained for business, service, accounting, security, and audit purposes unless they are deleted or deactivated by an authorized administrator or no longer needed. Users may request access, correction, account deletion, or data deletion by contacting [email protected]. Some records may need to be retained where required for legal, billing, security, or legitimate business reasons.

Security

HVAC Navigator uses authenticated access, role-based permissions, and server-side controls to limit access to operational data. No system can guarantee perfect security, but we use reasonable safeguards intended to protect information from unauthorized access, misuse, or disclosure.

Children's privacy

HVAC Navigator is intended for business and customer service use by authorized users. It is not directed to children under 13, and we do not knowingly collect personal information from children.
